Dr-Tutor respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains how we collect, use, store and protect your personal information when you visit Dr-Tutor, use our website, request free resources, access the Dr-Tutor UCAT Coach, contact us, purchase educational resources, book tuition or use any of our other services.

1. Who we are

Dr-Tutor provides educational resources, tuition and support for students applying to medical and dental school, including UCAT preparation, interview preparation, academic tuition and application support.

For the purposes of UK data protection law, the data controller is:

Dr-Tutor
Operated by Kanishka Gooneratne
Email: information.drtutor@gmail.com

If you have any questions about this Privacy Policy or how we use your personal information, please contact us using the email address above.

2. Information we may collect

Depending on how you interact with Dr-Tutor, we may collect the following information:

Contact information, such as your name, email address and, where provided, telephone number.

Educational information, such as your school year, subjects studied, predicted or achieved grades, UCAT test date, UCAT or mock scores, target universities and areas in which you are seeking tuition or support.

Enquiry information, including messages you send through our website, email or contact forms.

Service information, such as tuition bookings, courses attended, resources purchased and correspondence relating to those services.

Payment and transaction information, including records of purchases and payments. Payment card details may be processed directly by third-party payment providers rather than stored by Dr-Tutor.

Website and technical information, such as your IP address, browser type, device information, pages visited and interactions with our website.

Marketing information, including whether you have agreed to receive emails from us and how you interact with those communications.

Advertising information, such as information generated through Meta/Facebook advertising, cookies, pixels or similar technologies where these are used and you have provided any consent required by law.

We aim to collect only the information reasonably necessary for the purposes described in this Privacy Policy.

3. How we use your information

We may use your personal information to:

  • provide access to requested resources, including the Dr-Tutor UCAT Coach;

  • respond to enquiries;

  • provide tuition, courses, educational resources and other Dr-Tutor services;

  • personalise educational support and recommendations;

  • process purchases and bookings;

  • provide customer support;

  • administer our website and protect it against fraud, misuse or security threats;

  • understand how our website and services are being used;

  • improve Dr-Tutor resources and services;

  • maintain appropriate financial and business records;

  • comply with legal and regulatory obligations; and

  • send you educational updates, offers and information about Dr-Tutor services where we have permission to do so or are otherwise legally permitted to do so.

We will not sell your personal information to third parties.

4. Our lawful bases for using your information

UK data protection law requires us to have a lawful basis for processing personal information.

Depending on the circumstances, we may rely on:

Contract – where processing is necessary to provide tuition, a course, a purchased resource or another service you have requested.

Consent – where you have actively agreed to a particular use of your information, including where required for email marketing or certain cookies and advertising technologies.

You may withdraw your consent at any time.

Legitimate interests – where processing is reasonably necessary for operating and improving Dr-Tutor, responding to enquiries, providing requested free resources, maintaining security and understanding our services, provided those interests are not overridden by your privacy rights.

Legal obligation – where we are required to process or retain information to comply with applicable laws, including financial, accounting or regulatory requirements.

Where consent is required by applicable electronic marketing or cookie rules, we will not rely on legitimate interests as a substitute for that consent.

5. Free resources and the Dr-Tutor UCAT Coach

We may ask for information such as your name and email address before giving you access to free Dr-Tutor resources or the Dr-Tutor UCAT Coach.

We use this information to provide the resource you requested and to administer and evaluate our services.

Accessing a free resource does not by itself mean that you have agreed to receive promotional marketing emails from us.

Where we ask you whether you would like to receive UCAT advice, medicine application guidance, offers, course information or other marketing from Dr-Tutor, this choice will be presented separately.

You can unsubscribe from marketing at any time.

ChatGPT and the Dr-Tutor UCAT Coach

The Dr-Tutor UCAT Coach may be provided through ChatGPT, a service operated by OpenAI.

Information that you choose to enter directly into ChatGPT is processed under OpenAI's own applicable terms and privacy policy.

Dr-Tutor does not receive or have access to the contents of individual private conversations that users have with a Dr-Tutor custom GPT unless the user separately chooses to send that information to Dr-Tutor.

You should avoid entering unnecessary sensitive personal information into the UCAT Coach.

6. Marketing communications

If you have actively agreed to receive marketing communications from Dr-Tutor, we may contact you about relevant services including:

  • UCAT resources and preparation;

  • medical and dental school application support;

  • personal statement or application support;

  • interview and MMI preparation;

  • educational courses;

  • private tuition;

  • mock interviews;

  • Dr-Tutor booklets and resources; and

  • relevant discounts or offers.

You can withdraw your consent or unsubscribe at any time by using the unsubscribe option included in our emails or by contacting:

information.drtutor@gmail.com

Withdrawing consent will not affect processing that took place lawfully before consent was withdrawn.

We may retain a minimal record of your email address on a suppression list after you unsubscribe so that we can respect your request not to receive further marketing.

7. Children and young people

Many Dr-Tutor users are school students and may be under 18.

We recognise that children's and young people's personal information deserves particular protection.

We aim to:

  • collect only information genuinely needed to provide our services;

  • communicate privacy information clearly;

  • avoid unnecessary collection of sensitive personal information;

  • take additional care when using information for marketing or advertising; and

  • provide simple ways to ask questions, withdraw consent or exercise privacy rights.

Dr-Tutor services are not intended for children under 13 to provide personal information independently.

If you are under 13, please ask a parent or guardian to contact us on your behalf.

Parents or guardians with questions about the information we hold about their child may contact us at information.drtutor@gmail.com.

We may advertise Dr-Tutor through platforms including Facebook and Instagram, operated by Meta.

If you reach our website through an advertisement, we may receive information relating to that interaction.

Where enabled, we may also use advertising technologies such as the Meta Pixel or similar tools to understand whether advertisements result in website visits, registrations or purchases and to improve the effectiveness of our advertising.

Where these technologies require consent, they will not be activated until the required consent has been provided.

Information collected through Meta services may also be processed by Meta in accordance with Meta's own privacy policies.

You can manage your cookie choices through our website's cookie controls where available.

11. International transfers

Some of the technology providers we use may process or store information outside the United Kingdom.

Where personal information is transferred internationally, we will take appropriate steps where required to ensure that the information receives an appropriate level of protection under applicable data protection law.

These safeguards may include adequacy regulations or approved contractual protections.

12. How long we keep information

We do not keep personal information for longer than reasonably necessary.

As a general guide:

Financial and transaction records: for the period required by applicable tax, accounting and legal obligations.

We may retain information for longer where necessary to establish, exercise or defend legal claims or where required by law.

13. Keeping your information secure

We take reasonable organisational and technical measures designed to protect personal information against unauthorised access, loss, misuse, disclosure or alteration.

However, no method of transmission or electronic storage can be guaranteed to be completely secure.

14. Your rights

Depending on the circumstances, UK data protection law may give you rights including the right to:

  • request access to personal information we hold about you;

  • ask us to correct inaccurate information;

  • ask us to delete your information;

  • ask us to restrict how your information is used;

  • object to certain uses of your information;

  • request transfer of certain information;

  • withdraw consent where we rely on consent; and

  • object to direct marketing at any time.

Some rights depend on the circumstances and may not apply in every case.
